Creative Structures Group USA and the companies within Creative Structures Group (together “we”, “our” and “us”) value the trust of the customers, venues, planners, suppliers and business partners we work with. This notice explains how we collect, use and share information that identifies you or relates to you (“personal information”).
It covers this website and the wider business relationship – enquiries, quotations, site visits, installations and the paperwork that supports them.
Information we collect
We typically process the following categories of personal information.
- Contact details. Name, job title, postal address, email address and telephone numbers.
- Professional details. Your employer, your role, and the organisation you are enquiring or contracting on behalf of.
- Event and site information. The date, location, guest numbers and requirements for your event, together with site plans, photographs, access arrangements and ground conditions you share with us so we can specify and rig a structure safely.
- Transaction and account information. Quotations, orders, deliveries, invoices, payment records and the correspondence attached to them.
- Compliance information. Details needed to produce certificates of insurance, permit applications and engineering documentation, including the venue or authority those documents name.
- Contact and marketing preferences. What you have agreed to receive and how, including consent to receive text messages.
- Technical information. IP address, browser and device information, and pages requested, collected automatically when you use this website.
How we collect it
We collect personal information when you contact us or use this website; when you request a quotation or enter into a contract with us; when we survey a site, deliver, install or de-rig; when you meet us at an industry event or trade show; when you or your colleagues correspond with us; and when we contact you.
We may also receive personal information from other sources, including the organisation you work for, the venue hosting your event, a planner or agency acting for you, and publicly available sources.
How we use it
Answering enquiries and delivering work
To respond to enquiries, prepare quotations, agree contracts, plan and carry out installations, and provide customer service throughout. This is information we need in order to take the steps you have asked for and to perform our contract with you.
Compliance, permits and insurance
To produce the documentation a venue or authority requires before an event can go ahead – certificates of insurance naming a venue as additional insured, permit applications, and engineering or wind-loading documentation. Producing these necessarily means sharing your details and your event details with insurers, engineers and the permitting authority.
Business administration and due diligence
For invoicing, credit checks and payment; for verifying who we are contracting with; for audit and record-keeping; and for fraud prevention and the security of our systems, sites and equipment.
Improving what we do
To understand how this website is used, to improve our services, and to develop what we offer. Website analytics report on traffic patterns rather than identifying you personally.
Marketing
To send you news, offers and information about our services where you have asked to receive it, or where you are an existing business contact and we think it is relevant to your work. You can stop this at any time and it will not affect a booking.
Text messages
We may send text messages about your enquiry or booking, and separately about offers and news where you have asked for them.
- Consent is written, specific and optional. We will only text you where you have given prior express written consent, by ticking a box or replying to confirm. Giving us a telephone number is not by itself consent to be texted.
- It is never a condition of doing business. You can hire from us without agreeing to receive any text message.
- Stopping is immediate. Reply STOP to opt out, or HELP for help. You can also tell us by email or telephone.
- Message frequency varies. Message and data rates may apply under your mobile plan. We do not charge for the messages.
- Mobile numbers are ring-fenced. Mobile information and messaging consent are not shared with any third party or affiliate for their marketing or promotional purposes. That exclusion overrides anything else in this notice about sharing. The only parties handling your number for messaging are the carriers and messaging providers who deliver the message.
Sensitive information
We do not seek sensitive personal information – such as health, religious belief, or biometric data – and we ask that you do not send it to us.
Some information we do properly need could support a sensitive inference. Dietary requirements or accessibility arrangements for an event are the usual example. Where you give us that information we use it only for the limited purpose you gave it for, and we do not use it to build any profile of you.
Who we share it with
We share personal information with:
- Other Creative Structures Group companies, where a job draws on group engineering, equipment or expertise.
- Service providers acting on our behalf – website hosting, email, accounting, payment processing and IT support. They may use the information only to provide that service to us.
- Subcontractors and suppliers engaged to deliver part of your event, such as transport, rigging crew, flooring or power.
- Insurers, engineers, venues and permitting authorities, where the documentation your event requires cannot be produced without it.
We do not sell your personal information. We do not rent, trade or otherwise transfer it to anyone for their own marketing. That is a flat statement, not one confined to a particular kind of marketing.
We may disclose information where the law requires it, to comply with legal process, or to establish or defend legal claims.
Cookies and similar technologies
Cookies are small files a website stores on your device. We use those necessary to make the site work, and analytics that tell us which pages are used. We do not use advertising or behavioural-targeting cookies; if that changes, this page will be updated before they are switched on.
You can block or delete cookies in your browser settings. Parts of the site may work less well if you do.
How long we keep it
We keep personal information only as long as we need it. In practice that means:
- Enquiries that do not become bookings – two years, so we can pick up a conversation you return to.
- Contract, event and financial records – seven years, to meet tax, accounting and insurance requirements.
- Marketing preferences – until you withdraw them, plus a record of the withdrawal so we can honour it.
- Website server logs – a short period, for security and diagnostics.
We may keep information longer where a legal claim, investigation or statutory obligation requires it.
Your rights
You may ask us to give you a copy of the personal information we hold about you, correct it if it is wrong, or delete it. You may object to us using it for marketing, and withdraw consent at any time where we relied on it.
Write to us using the details below. We will verify your identity before acting, and respond within thirty days. Where we cannot delete information – because a contract, tax or insurance obligation requires us to keep it – we will tell you why.
Security
We maintain technical and organisational measures appropriate to the information we hold: encrypted connections, access limited to those who need it, and controls over the systems where records are kept. No safeguard is absolute. If a breach affects your information we will tell you, and tell you what we have done about it.
Children
This website is intended for adults arranging events, and we do not knowingly collect personal information from children under 13. If you believe a child has given us information, tell us and we will delete it.

This site links to other websites, including social media. We do not control them and are not responsible for their content or privacy practices. A link is not an endorsement.
